The Freight Accounting Disconnect
Most off-the-shelf accounting systems were designed for manufacturing, retail, or professional services - not for the extreme velocity and complexity of freight transportation. Motor carriers and freight brokers generate hundreds of transactions per day across multiple revenue and cost components. Standard setups quickly collapse under this load.
High-velocity transaction volumes create immediate problems. A typical mid-size fleet might process 300 loaded trips, 450 fuel card advances, 200 per-diem entries, and dozens of accessorial charges every 24 hours. Entering these manually or through error-prone batch imports leads to posting delays, duplicate invoices, and constant reconciliation headaches.
Driver compensation adds another layer of complexity. Split-pay rules that combine mileage rates, percentage-of-revenue, hourly detention pay, stop-off bonuses, and layover compensation must be calculated accurately and posted to the correct driver escrow, settlement, or tax accounts. Most accounting teams spend hours each week manually reconciling these calculations against TMS settlement reports.
Escrow liability accounting presents its own set of challenges. Maintenance reserves, security deposits, lease-purchase buy-down tracking, and driver advance accounts must be maintained with precise audit trails. A single misposted escrow transaction can trigger cascading errors across the balance sheet and driver trust accounts.
Factoring relationships introduce yet another reconciliation burden. Notice of Assignment (NOA) schedules, reserve holdbacks, and daily cash applications must be matched against both the factoring company remittance report and the original customer invoice. Without automated integration, these processes consume significant administrative time and create cash flow visibility gaps.
Finally, missing proof-of-delivery (POD) documentation frequently leaves receivables unbilled. When the TMS contains delivery confirmation but the accounting system does not automatically attach or reference the supporting BOL and POD images, invoices sit in limbo. The resulting cash flow drag can reach tens or even hundreds of thousands of dollars in any given month.
These are not theoretical problems. They are daily operational realities for transportation companies attempting to run modern fleets on legacy accounting workflows. Strong Tower Consulting was founded to close this exact gap.
Modern TMS-to-GL Integration Architecture
The era of nightly batch spreadsheet exports and manual journal entries is over. Contemporary transportation accounting integration relies on secure, bidirectional REST API connections that move data in near real time while preserving complete audit trails and document attachments.
Accounts Receivable (AR) Sync
Customer invoices are generated in the TMS the moment a load is delivered and POD is confirmed. The integration immediately pushes a fully detailed invoice into the General Ledger with individual line items for linehaul, fuel surcharge, accessorials, and any other agreed charges. Simultaneously, the original BOL and signed POD PDF documents are attached directly to the accounting record. This eliminates the need for separate document management systems and dramatically accelerates cash collection.
Accounts Payable (AP) Sync
Brokerage carrier payables, owner-operator settlements, and shop vendor invoices are matched automatically using 3-way reconciliation logic. The TMS provides the original load cost, the carrier or vendor invoice provides the billed amount, and the integration confirms both against the original rate confirmation. Exceptions are flagged for review before posting, dramatically reducing overpayment and duplicate payment risk.
General Ledger Chart of Accounts Mapping
Every carrier operates with a unique chart of accounts that reflects its specific divisions, equipment types, terminal locations, and cost centers. Our integration layer includes a robust mapping engine that translates TMS transaction codes into the precise GL accounts, dimensions, and classes required by the accounting system. This mapping is version-controlled and auditable, ensuring consistency even as the business grows or reorganizes.
The result is a closed-loop financial system where the TMS remains the system of record for operational data while the accounting platform remains the system of record for financial reporting - with both platforms staying perfectly synchronized without manual intervention.
Core Supported Accounting Platforms
QuickBooks Online (QBO) & QuickBooks Enterprise
QuickBooks remains the most widely used accounting platform in the trucking industry. Our REST API integration handles customer master deduplication, intelligent invoice batching, automated application of payments from factoring companies, and nightly clearing account reconciliation. We maintain full support for both QBO Plus and QBO Advanced as well as the desktop Enterprise edition with its enhanced inventory and advanced reporting capabilities.
Sage Intacct
For carriers and brokers that have outgrown QuickBooks, Sage Intacct offers powerful multi-entity consolidation and dimensional reporting. Our integration leverages Intacct's robust API to apply dimensional tagging at the transaction level - tracking profitability by lane, truck, driver, and terminal. Automated intercompany eliminations, enterprise AP approval workflows, and sophisticated revenue recognition rules are all supported natively.
Microsoft Dynamics 365 Business Central and Legacy Systems
We also deliver integrations to Microsoft Dynamics 365 Business Central and selected on-premise platforms including older versions of Sage 100, Sage 500, and Microsoft Dynamics GP. Each engagement begins with a detailed platform capability assessment to ensure the chosen accounting system can support the required transaction velocity and reporting granularity.
TMS Platform Support & Vendor Neutrality
Strong Tower Consulting maintains deep technical expertise across the leading commercial Transportation Management Systems. Our integration methodology is platform agnostic, allowing carriers to select the TMS that best fits their operational requirements while still achieving seamless financial synchronization.
- Trimble Truckmate - Direct AR/AP interface utilization and general ledger posting table automation.
- TMWSuite / TMW Enterprise - Billing export optimization, settlement clearing routines, and established QuickBooks and Sage Intacct bridges.
- McLeod LoadMaster - Full utilization of the Accounting Interface Module with carrier payables synchronization and revenue recognition controls.
- Exspeedite - Native REST API synchronization to both QuickBooks Online and Sage Intacct featuring touchless nightly batching, zero-touch document attachment, and real-time exception dashboards.
Disclosure: Exspeedite is a Strong Tower company (sister company under common ownership). Strong Tower provides vendor-neutral integration consulting and implementation services across all commercial TMS platforms. Clients are never required to adopt any specific TMS or accounting platform.
The Strong Tower Financial Integration Playbook
Our proven 4-phase engagement methodology minimizes risk and ensures rapid time-to-value. Every project follows the same disciplined process refined over more than 18 years of transportation systems work.
Phase 1: Chart of Accounts & Workflow Discovery
We begin with a comprehensive review of your current financial processes, chart of accounts, driver settlement rules, factoring arrangements, and reporting requirements. This phase produces a detailed gap analysis and a prioritized integration roadmap.
Phase 2: Data Mapping & Sandbox API Configuration
Our technical team builds the complete field-level mapping between your TMS and accounting system. All transformations, business rules, and exception conditions are documented and configured in a sandbox environment that mirrors your production systems.
Phase 3: Parallel Batch Settlement & Billing Testing
We run both the existing manual process and the new automated integration in parallel for a minimum of two complete settlement and billing cycles. Every transaction is compared with 100% variance reconciliation. Only after zero material exceptions are we cleared for production cutover.
Phase 4: Go-Live Cutover, Reconciliation Audit & Staff Training
The final phase includes a formal cutover plan, side-by-side reconciliation of the first live month, comprehensive staff training, and 90-day post-go-live hypercare support. We do not consider the project complete until your team is fully confident operating the integrated solution independently.
This structured approach has delivered successful integrations for carriers ranging from 25 trucks to multi-thousand unit fleets with complex multi-entity structures.
