The Factoring Notice of Assignment Trap
When a carrier factors its freight bills, the factoring company sends a formal NOA letter - typically via email or certified mail - directing all future payments to the factor's remit-to address and account. Many brokers still rely on manual review of these notices. In high-volume environments using Truckmate, McLeod, or TMW, this manual process creates inevitable errors. Carriers frequently change factors, creating a constant churn of new NOAs and Release of Assignment letters. Without automation, settlement teams become overwhelmed, leading to payments sent to the wrong party and subsequent legal claims.
Automated NOA Parsing and Payee Routing
Leading brokerages configure their TMS with dedicated email ingestion rules that monitor specific mailboxes for NOA documents. Using OCR and natural language processing, the system extracts critical data points: carrier MC or DOT number, factor legal name, remit-to address, ACH routing and account numbers, effective date, and any referenced UCC-1 filing number. The extracted data automatically updates the carrier master file, changing the default payee from the carrier to the verified factor and applying a mandatory settlement lockout flag that prevents any Quick Pay or final settlement from being issued to the carrier directly.
This workflow integrates directly with EDI 210 invoice processing. When a carrier or factor submits a 210, the TMS cross-references the payee against the locked master record and routes the remittance accordingly. The same logic applies to internal Quick Pay requests initiated by the brokerage.
UCC-1 Search Integration and Release of Assignment Verification
Automated systems go beyond simple NOA parsing. They integrate with UCC search services to validate whether a carrier has an active financing statement on file. When a carrier claims to have changed factoring companies, the brokerage requires a formal Release of Assignment letter from the previous factor before removing the payee lockout. The TMS workflow holds the record in a "pending release" status until both the release letter and a fresh UCC search confirm no active liens. Only then can the carrier be restored as the default payee for Quick Pay and settlement purposes.
In-House Quick Pay Profit Optimization
Many brokerages operate tiered Quick Pay programs offering carriers 1.5% to 3.0% discount for 2-day ACH settlement instead of waiting 30-45 days. When factoring liens exist, these programs must automatically redirect the discounted payment to the factor's account. When no lien exists, the brokerage retains the full float benefit while still offering the carrier accelerated cash flow. This requires tight integration between the carrier master, settlement engine, and accounting modules. SQL-level triggers and nightly reconciliation jobs ensure that every settlement - whether EDI 820 or ACH - respects the current verified payee and any applicable discount tier.
Independent Advisory Perspective
Strong Tower Consulting, LLC and Exspeedite LLC are separately organized sister companies under common ownership (founded 2008 in Minnesota by Scott Elliott). We design freight brokerage accounting controls, treasury automation, and risk mitigation systems with zero vendor software bias. Whether your brokerage operates Truckmate, McLeod, TMW, or a custom SQL-based settlement platform, our focus remains on building robust, auditable controls that protect your float, eliminate double-liability exposure, and maximize yield from in-house Quick Pay programs.
Implementation Roadmap
Effective automation begins with mapping your current settlement workflows - from load tender (EDI 204) through status updates (EDI 214) to final invoicing and payment (EDI 210/820). From there, dedicated NOA mailboxes, OCR templates, carrier master triggers, and nightly UCC reconciliation jobs can be configured. The result is a near-zero tolerance environment for misdirected payments and a highly optimized Quick Pay program that respects all active factoring relationships.
Brokerages that implement these controls report dramatic reductions in legal claims, improved carrier payment accuracy, and increased float retention on non-factored settlements.
